When I started the 400 Year Project (a program to identify ways that the rate of improvement could be accelerated by 20 times), I decided to announce the project before a gathering of my most important clients and the business leaders I most admired. At the time, I was hoping to learn from their reactions. But the most important benefit was from making a public commitment in front of them. I wouldn’t have much credibility left unless I succeeded!

Perhaps the most important effect of that autumnal meeting was to make me feel like I owned the responsibility to make this project work. After all, none of my clients or colleagues had asked me to take this on. Most of them were concerned about the impact on me and my business of attempting such an enormous task; their willingness to support this blind task was, however, very encouraging to me. By the end of the day, my confidence was at an all-time high. In fact, my confidence was higher then than it is now, even though I now know how to create 400 years of progress in a generation.

Perhaps that’s an essential element of leading a project like this to a successful conclusion: You need to feel overwhelming confidence. I thank God for giving that confidence to me.

The ignorance came naturally: I had never thought about accelerating the rate of improvements before. How hard could it be?

Having now worked on this great task for 13 years, it’s clear to me that difficult challenges require continual focus. When that happens, you begin to see the whole world in terms of the challenge. What you see begins to provide the answers you seek. But if you only did that investigation for two weeks, you would simply retire with few answers. Such a limited effort would be a waste of time for a hard task.

From this experience, I’ve come to appreciate that people can do vastly more than they think they can. Without making large public commitments that require sticking your neck out, no one would ever persist long enough and energetically enough to accomplish an “impossible” task.

Naturally, if you are going to take such a radical step, it makes sense to pick an “impossible” task that excites you. By making such a commitment, you’ll feel more energized to stick with the long slog ahead.

Frequently I get asked, ‘How can I be more productive?’ Being more productive is not brain surgery but it does require the use of a to-do list.

One participant in my time management program said, ‘my time management is easy. I put each task item on a different sticky note, stick it to my computer and when I’m done, I just rip it off of my computer, crumple it up and throw it away.’

The visual was humorous and the class roared.

Another person told me his to-do list strategy. He writes tasks on a sticky note until he is out of room, then he quits writing. If he doesn’t feel like doing much, he writes big or uses the tiny, 2 inch by 2 inch sticky note.

To increase efficiency and output, a to-do list is the most fundamental of time management tools. You will achieve more in less time if you make a list and check off each item as you complete it. Even if you cannot complete the list in the order you anticipated, just making the list refines your focus. Increased focus equals more tasks completed in a given period of time.

Human nature scribbles to-do lists in a variety of places: on sticky notes, napkins, candy wrappers and even on the backs of envelopes. Have you used any of these?

Napkins, candy wrappers, and envelopes are floating pieces of paper and are easily lost or buried under paperwork on your desk. Because they look like clutter, devoid of remorse you can dispose of them without thinking twice. Tasks put into a date book organizer are harder to lose as they have a semi-permanent status. But are any of these the best tool for a 21st Century to-do list?

I say emphatically, ‘No!’ The best choice for the 21st Century task list is an electronic task list built in your PDA, laptop or on your desktop and preferably in Microsoft Outlook.

Making your list digital in Microsoft Outlook permits you to manipulate the information, prioritize using different filters, group, rearrange, divide into subtasks and delete to the complete satisfaction of the anal retentive planner.

For instance, in Microsoft Outlook the default tasks folder view is the simple list but it can be filtered in several useful ways such as active tasks, detailed tasks, tasks due in the next seven days, tasks by person responsible, and completed tasks.

Another helpful view is the master task list view. The master task list view is a perfect place for dumping everything that swims around in your head as ‘I’m going to get to this’ as well as those tasks you must complete to keep your job.

After configuring the master task list, the final step in making yourself more productive is to turn your master task list items into an organized plan for daily productivity.

Before you leave work, contemplate the tasks on your master task list, check your appointments, put what is floating in your mind on your list then analyze how much of that list you can actually do during your working hours. This plan for tomorrow then becomes your daily task list which will be grouped by due date in your newly configured outlook.

Following this process, you’ll know where to start every morning and you’ll expand your capacity to get more done in less time as you discipline yourself to work from the list.

Everybody has days when they are stressed and overwhelmed; times when there is too much to do, and too little time to do it. If you are feeling stressed, ask yourself whether everything is really as urgent as your stress implies. What is the worst thing that could happen? Would it really be so bad, or are you ‘awfulizing’?

Resist panicing when there is too much to do and not enought time to do it, panic just makes the situation even more difficult. You don’t need to give in to feelings of overwhelm or panic, there is a solution.

Just think about that for a moment, it is a big clue as to how to deal with stress. You can only effectively deal with one thing at a time.

“Mile by mile, life’s a trial. Yard by yard, life is hard. But inch by inch, life’s a cinch.”

You can use this truth to help you tackle your overflowing plate and accomplish the seemingly impossible. Make a list of all the things you have to do today and deal with them one at a time. Then start by shortening your list. Delegate what somebody else could do and remove things that don’t really need to be done today from your list.

Once you have done that, deal with the things that will take just a few minutes. You will soon shorten your list and it will begin to feel like you are achieving something.

Next, tackle the most important thing and work at it until it is done. Then deal with the next important thing. Focus on one thing at a time and congratulate yourself every time you cross something off your list.

When you set yourself short term realistic goals you will position yourself for success and begin to eliminate the feeling of stress. Once you have a realistic plan and know that you have a good chance of success you will find it easier to stay motivated.

When your goals are realistic and you believe you can do something, you will find it easier to succeed. If you think you can’t, or you don’t think you have a chance of doing what you need to do, you have lost before you even begin.

If you want to defeat overwhelm and lead a stress free life, set realistic short term goals that will help you to accomplish what needs to be done.

The key to a successful yet stress free life is to stretch yourself a little and step beyond your comfort zone while keeping things achievable and remember that

Contrary to common thinking, giving has nothing to do with material wealth. Whilst it may be true that material possessions enhance the capability to give, material gifts serve only to express the attitude of giving behind. With or without material possessions we can still afford to give. After-all, it is the priceless gifts of love and caring which all humanity craves for.

Everyone wants to be on the receiving end all the time, but to have a consciousness and conscience to think of others first before ourselves is extraordinary. To give a stranger a simple smile goes a long way. Just a simple act of kindness, like someone holding the door for me, makes a difference in my entire day.

Though the act itself might be very simple but it is the attitude behind the action which is valuable. So do not worry too much about what exactly you are giving, what has value is the attitude behind it, as the cliche goes, “it is the thought that counts.” Ironically, it is in the giving that we receive. Though we might not realise it immediately, or get the very same gift from another person but the more we give the more we receive.

The immediate effect one can realize is on our bodies. The satisfaction that is gained from giving is invaluable. Giving reveals our spiritual substance, our faith in the abundance in the Universe. For if all you see is poverty and lack, how can you give? A person with a giving attitude has a positive outlook on the world. For you cannot possibly give if your heart is filled with anger and frustration. So already, you can see, that by adopting a giving mindset, by seeking to put others first before self, our outlook on the world will simultaneously change.

All fears, worries and anxieties come when we are too bogged down with ourselves. However, the moment we let go of ‘me, me, me’ and think of others these worries will soon dissolve. This is not suggesting that we give up on ourselves, but rather to take a step back and look at the wider picture. Rather than seeking to receive all the time, seek to give, remembering that whatever we cause others to experience we will experience it ourselves and so much more.

Put a smile on someone face, cause others to feel worthy, and be part of a good cause. In the Bible, it is written “do unto others as you would like them to do unto you”. It is pretty self explanatory that whatever you wish to experience in life, give it! We are all part of the same thing. We all stem from the same one source and we generally all share the same feelings.

By giving to others, you are working in alignment with the Source of all, for the true nature of God is generous, loving and considerate. When you give, God is indeed working through you. And if God is on your side, who can be against you? You are working with the Supreme Power whose capabilities are beyond comprehension, and with whom all we may ever seek comes from.

Open the floodgates of abundance into your life by making others experience abundance. Experience new found joy and peace into your life by becoming an instrument of God bringing joy into the lives of others.

I came across a poem on the internet which beautifully sums up what I have just said here.
“If you see it, touch it.

If you feel it, love it.
